Old Square Chambers currently has four staff vacancies; those of PA to Senior Clerk/Marketing Assistant, Admin Assistant/PA to Chambers Director, Team Leader's Assistant and Junior Clerk. Please see below for further details.

PA to Senior Clerk/Marketing Assistant

 

Old Square Chambers has a reputation for delivering excellence. Our members specialise predominantly in employment, personal injury, clinical negligence and professional regulatory and discipline, together with additional civil specialisms.

Reporting to both the Senior Clerk and Marketing Manager, this role is integral to the smooth running of Chambers. The successful applicant will be required to provide PA support to the Senior Clerk, including reporting, file notes and client care. They will also support the Marketing Manager in providing general administrative support and event and training organisation, including all administration and post event follow up. Assistance with website content and social media and production of marketing materials.

 

The Person

The successful candidate will have a minimum of minimum of 5 GCSE’s Grades A-C, including English and Maths. An interest or qualification in marketing, events management or social media would be of benefit and experience of using Microsoft Office is essential. In terms of skills, the candidate will have an excellent telephone manner and have a confident and professional approach with a committed attitude. They must be able to work well under pressure, whilst remaining calm and previous front of house experience would be an advantage. They will be smartly presented and have excellent communication and interpersonal skills with people at all levels (both written and verbal).

 

The Role

This role is varied and a full job description is available on request. Some examples of the duties for this position are:

  • maintaining and monitoring relationships with key clients
  • responding to confidential emails on behalf of Chambers
  • Coordinating all Chambers charitable activities
  • Maintain a ‘document brought forward’ filing system, bringing relevant matters to the attention of the Senior Clerk in good time
  • Producing and analysing reports as required
  • Reconciliation of expenses and credit card receipts
  • Diary management for senior members of staff
  • Responsible for assisting in organising all promotional and marketing activities including nationwide seminars, conferences, receptions, exhibitions and networking events in conjunction with the Marketing Manager and all associated administration and support of the same;
  • Maintain an up to date and accurate marketing database of contacts (LEX system);
  • Presence at events to oversee and ensure events run smoothly and as scoped in conjunction with the front of house team;
  • Administer legal directory entries with the Marketing Manager; Chambers and Partners and Legal 500;
  • Website maintenance and administration, including content updates as directed;

Admin Assistant/PA to Chambers Director

Reporting to the Chambers Director, this role is integral to the smooth running of Chambers. The successful applicant will provide administrative and facilities support to Chambers as directed by the Chambers Director. They will work alongside the lead receptionist to provide support to front of house during busy times and cover during periods of leave and breaks and support the Chambers Director with various projects throughout the year.

 

The Person

The successful candidate will have a minimum of minimum of 5 GCSE’s Grades A-C, including English and Maths.  Experience of using Microsoft Office is essential and a ‘can do’ practical approach to the role is crucial. In terms of skills, the candidate will have an excellent telephone manner and have a confident and professional approach with a committed attitude. They must be able to work well under pressure, whilst remaining calm and previous front of house experience would be an advantage. They will be pro-active and a hard working team player who can take initiative when required, whilst also being able to follow direction, and be able to demonstrate common sense.

 

The Role

This role is varied and a full job description is available on request. Some examples of the duties for this position are:

  • Undertake pupillage/mini-pupillage application administration and co-ordination of mini-pupillage timetable
  • Provide support to members for IT and resource issues (basic level – working knowledge of IT beneficial)
  • Responsible for the administration of member’s annual subscriptions and regulator requirements including practising certificates and insurance
  • Diary checking to arrange meetings involving staff and members as directed
  • Petty cash handling and expenses/credit card reconciliation for Chambers Director
  • In conjunction with and under the supervision of the receptionist, all front of house duties including switchboard, room setup, meet and greet
  • Overseeing external room hire enquiries and bookings
  • Overseeing all maintenance contracts for Chambers including escorting contractors on site, placing call outs and organising maintenance visits
  • Ensuring stock levels are maintained throughout Chambers
  • Managing the issuing of and cancellation of door and alarm fobs
  • First point of contact for basic IT queries and liaising between members, staff and our external contractor to ensure matters are resolved quickly and effectively
  • Overseeing junior clerks in any facilities related tasks including internal move projects

Team Leader’s Assistant

Old Square Chambers has a reputation for delivering excellence. Our members specialise predominantly in employment, personal injury, clinical negligence and professional regulatory and discipline, together with additional civil specialisms.

Reporting to the Team Leaders, working closely with colleagues, members of Chambers and clients, the successful individual is required to play a significant role in the effective day to day clerking and on-going development of members’ practices. They will also be very active in the delivery of Chambers’ marketing and business development initiatives.

The Person

Ideally with a minimum of 2-5 years’ experience, suitable candidates will possess outstanding administrative skills, be able to meet competing deadlines, be articulate and have a proactive approach to everything they do.  They must also be able to work within a team environment and be able to deliver the role with a flexible approach.

The Role

Duties include, but are not limited to:

  • Booking in work accurately on the LEX Management System, including forward planning, troubleshooting and recording of information
  • Liaising closely with Solicitors and clients, building strong professional relationships
  • Negotiating and agreeing fees
  • Fielding calls and deputising for more senior colleagues
  • Active involvement in the promotion of Chambers and its members
  • Diary and practice management
  • Participation in business development activities, which will include travelling within the UK
  • Supervising and training the junior clerks.
